How to Create or Edit a Marketing Campaign
- Click on the Clients component
- Click on the Settings tab
- Click the Manage Marketing Campaigns button
- Click the New Marketing Campaign button or edit the desired marketing campaign
Marketing Campaign Info
- Marketing Campaign Duration
- The marketing campaign duration is optional fields that are provided for your convenience to record when the marketing campaign was conducted.
- Marketing Campaign Overall Expense
- The marketing campaign expense option is an optional field used to record the overall marketing campaign expense. This field is useful for quickly identifying your profitability from the marketing campaign.
- The marketing campaign sales are automatically calculated from the invoices associated with a marketing campaign
- The marketing campaign income is automatically calculated from the invoice payments associated with a marketing campaign
Marketing Campaign Statistics
- Marketing Campaign Target Clients
- This field displays how many clients are being marketed to.
- Marketing Campaign Results
- The marketing campaign results do a breakdown of the new clients, events/sessions, and invoices that were generated from this marketing campaign
- Financial Results
- The financial results display the sales, income, expenses, and profit that was generated from the marketing campaign.
- This is an option field used to record the overall marketing campaign expense. This field is helpful for quickly identifying your profitability from the marketing campaign.
- The marketing campaign sales are automatically calculated from the invoices associated with a marketing campaign
- The marketing campaign income is automatically calculated from the invoice payments associated with a marketing campaign
Export Options Explained
- Export Clients to CSV
- Export all clients in the marketing campaign to a CSV file.
- Export to MailChimp List
- If you have an account with MailChimp, select this option and MailChimp will create a mailing list for all clients in your marketing campaign.
- Export to Mad Mimi List
- If you have an account with Mad Mimi, select this option and Mad Mimi will create a mailing list for all clients in your marketing campaign.
- Enter MailChimp API Keys
- This option will let you enter MailChimp's API Keys into StudioCloud
- Enter MadMimi Credentials
- This option will let you enter MadMimi's Credentials into StudioCloud
Send Options Explained
- Send Emails to Clients
- Send an email to each client in the marketing campaign
- Send Text Messages to Clients
- Send a text message to each client in the marketing campaign. This option requires text message credits.
Target Clients Tab Explained
The Target Clients tab includes all of the clients that you have added to the marketing campaign using the Add Clients menu button. The list of Target Clients is what will be included when exporting the data from a marketing campaign or when sending an email or text message from a marketing campaign.
New Clients Tab Explained
The New Clients tab contains a list of all clients that have been added to the program that have a marketing campaign listed as the referral. This is only a list of those clients and these clients are not exported from the marketing campaign or sent communications (email or text) from the marketing campaign.
New Events Tab Explained
The New Events tab is a list of all events that have been assigned to a marketing campaign. A marketing campaign is assigned to an event on the Event Details page of the New Event or Edit Event window.
New Invoices Tab Explained
The New Invoices tab is a list of all invoices that have an event assigned to them that is part of a marketing campaign. If an invoice does not have an event assigned to it then the invoice will never be included on the New Invoices tab of a marketing campaign.
Keeping your Marketing Campaigns Clean
One of the disadvantages of having a large customer base is you can end up with a lot of clients that are missing information that is necessary for marketing purposes. The Add Target Clients and Remove Target Clients button on the Target Clients tab allows you to either add clients or remove clients that are missing crucial information. Below is a short discussion of each of the removal options.
- Remove Blank, Duplicate, and Invalid Emails from Campaign
- If any email address is added twice, is blank, or invalid, selecting this option will remove those clients from the campaign.
- Remove Blank Addresses from Campaign
- This option allows you to remove any client without a street address.
- Remove Duplicate Addresses from Campaign
- This option allows you to remove any client in the campaign with a duplicate address. This ensures that you are not sending "junk mail". It also checks for standard abbreviations like St. or Str. For example, if you have two addresses that are identical except for the street abbreviation, StudioCloud will still remove the address.
- Remove Clients' Missing Zip/Postal Codes
- If you want to make sure that your marketing material doesn't get sent back to you, choose this option.
- Remove All Clients from Campaign
- If you need to remove all the clients from the campaign, this option will delete them from the campaign.

- Click on the Clients component
- Click on the Settings tab
- Click on the Manage Marketing Campaigns button
- Find and edit the marketing campaign you want to add the clients or prospective clients to
- Click on the Target Clients tab
- Click on the Add Target Clients menu
How to Add Clients by Calendar Type
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click on the Add Clients By Calendar Type To Campaign menu itemSelect the Calendar Type you want to use

- Optionally, you can enable the Filter Events In Date Range and select the time frame you want to work with

How to Add Clients by Birthday, Anniversary, or Custom Date Type
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click on the Add Clients By Dates To Campaign menu item
- Select a Date Type
- Select the desired Date Type Search Option
- Then you can either find all clients that have that date type or only those that fall within a specific month of the year
- You can also specify a time range for clients you are looking for (e.g., All babies born in January 2011)
- Click the Add Primary Client to Campaign button
- Click the Add Clients button
How to Add a Client Based On The Invoice Total
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click the Add Clients Based On Total Income Amount Received To Campaign menu item
- Select the time frame that you want to analyze
- Adjust the Combined Invoice Totals Are Greater Than field so that you are only pulling in clients that had more than that amount of income in the specified amount of time
- Click the Select Clients button to add clients to the Selected Clients table
- Click the Add Clients button
- Click the Save button
How to Add a Client by Name
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click on the Add Clients By Name To Campaign or the Add Prospective Clients By Name To Campaign menu item
- In the left panel there is a Search box that allows you to type in a name or part of a name of one of your clients
- Once you find the client you want to add to the marketing campaign drag and drop the name into the Selected Clients panel
- You can also double-click the client's name to move them to the Selected Clients panel
- Click the Add Clients button
- Click the Save button
How to Add a Client by Organization
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click on the Add Clients By Organization menu option
- On the left, you will notice a list of all of the organizations you have entered in to StudioCloud
- Select one of the organizations and click the Add All Clients button to add every member of that organization
- Click the Add Clients button
- Click the Save button
How to Add a Client by Relationship
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click the Add Clients By Relationships menu item
- Select the type of relationship in the Select Clients Based on Relationship field
- Then click the Add Clients To Primary Table button to view all clients who have that relationship
- Then you can either add all of those clients to the marketing campaign or you can select the person they are related to
- To select the person they are related to click the Add Client Related To Primary Clients radio button
- Select the type of relationship for the pair
- Click the Add Clients To Selected Clients Table button
- Click the Add Clients button
- Click the Save button
How to Add a Client based on Most or Least Payment Amount Received
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click on the Add Top Clients By Most Or Least Payments Amount Received To Campaign menu item
- Select either Search All Invoices or Search Invoices In Date Range
- If you choose to Search Invoices In Date Range then you must select a date range
- Under the Clients to Add heading you can select whether you want to Add Top Sales Producing Clients or Add Bottom Sales Producing Clients
- If you want to add all of the clients, set the number of clients to a very high number (for example, 1000). This number will need to be larger depending on the size of your customer base and the time frame that you are looking at.
- In addition, you can specify how many clients you want added to the list
- Click the Add Clients to Campaign button to add the data to the Selected Clients table
- Click the Add Clients button
- Click the Save button
How to Add a Client by Tag
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click the Add Clients By Tag To Campaign menu option
- In the first drop-down box you will see a list of all of your tags
- Select the tag you want
- If you want to filter the clients based on when they were created click on the Filter Clients By Creation Date option
- Click the Add Clients With Tag button
- Once you have added all of the clients to the marketing campaign click the Add Clients button on the bottom right
- Then click the Save button in the marketing campaign window
How to Add Parents of Children on the Child's Birthday
This method is used to find a client that has a birthday or anniversary and add a client that is related to that client found to the marketing campaigns. This option would be most often used to market to the parent of a child on the child's birthday.
- Follow the instructions above on editing a marketing campaign
- Click on the Target Clients tab
- Click on the Add Target Clients menu
- Click on the Add Clients By Dates To Campaign menu item
- First select the Date Type you want to market to
- Then you can either find all clients that have that date type or only those that fall within a specific month of the year
- You can also specify a time range for clients you are looking for (e.g., All babies born in January 2011)
- Click the Add Client Related to Primary Client To Campaign option
- Select the Type of Relationship, which will probably be Parent
- Click the Add Clients button below
- Once you have added all of the clients to the marketing campaign click the Add Clients button on the bottom right
- Then click the Save button in the marketing campaign window
In the following example, the child John has a birthday on August 18th and the parents John and Judy are in StudioCloud
- Select Birthday from the Date Type
- Click the Search All Date Types by Month
- Select the month of February
- Click the Add Client Related To Primary Client To Campaign
- Select the Parent relationship type in the Type of Relationship drop-down box
- Click the Add Clients with Date Type button and the parents will be added to the marketing campaign
Add a Client to a Marketing Campaign as a Referral
How to Select a Marketing Campaign as a Referral for a Client
- Create or edit a client, prospective client, or lead
- Click the Referral menu item
- Click the Select Client Referral option
- Click the Marketing Campaigns menu tab
- Click Select on the marketing campaign that you wish to select as a referral
How to View The Referral Source for a Specific Client
- Edit a client, prospective client, or lead
- If the client has a referral assigned to them it will be under the Referral Header
- Note: The referral header will not be visible if the client does not have a referral assigned to them (assuming the Referral Field is disabled)
How to View a Summary of the Referrals
- Click on the Clients component
- Click on the Reports tab
- Click the View Referral Summary button
How to View the Marketing Campaign Sales
To view the marketing campaign referral sales do the following:
- Click on the Clients component
- Click on the Settings tab
- Click on the Manage Marketing Campaigns button
- Edit the desired marketing campaign
- Click on the Statistics tab
How to Mass Email Clients Using Marketing Campaigns
After creating a Marketing Campaign, follow the steps below to send an email to all clients in a marketing campaign.
- Click the Clients component
- Click the Settings tab
- Click the Manage Marketing Campaigns button
- Find and edit the marketing campaign that you want to use
- Click the Send menu
- Click the Send A Personalized Email To Each Target Client menu item]

How to Track Sessions, Events, and Appointments Booked from a Marketing Campaign
In order to track the sales from a marketing campaign each session, event, or appointment that is booked from a marketing campaign needs to record that it was booked from a marketing campaign.
- Create or edit a session, event, or appointment
- Click the Details tab
- Select the desired marketing campaign under the Marketing Campaign header
