Types of Clients
- Client
- A client is considered a paying customer, a customer that is scheduled to be a paying customer, or any other contact such as business contact, vendor, etc.
- Prospective Client, Prospective Lead, or Prospect
- Pro-tip: StudioCloud recommends using prospective clients for clients that will be marketed to as a group through mailers, email blasts, or other marketing resources.
- Pro-tip: StudioCloud recommends tagging prospective clients so that they can be quickly added to a marketing campaign or exported from StudioCloud to market to them as a group
- Pro-tip: If a prospective client requires additional individual follow up actions StudioCloud recommends converting them to a lead.
- A prospective client is a contact who has either not been contacted or who has been contacted but did not become a paying client at that time.
- Lead or Inquiry
- Pro-tip: StudioCloud recommends using the leads only for potential contacts that require a follow up action.
- Pro-tip: If a lead is not currently interested in becoming a paying client but may be interested in the future StudioCloud recommends converting them to a prospective client.
- Pro-tip: StudioCloud recommends using lead pipelines to track the individual follow up actions that need to occur for a lead.
- A lead or inquiry is either an inquiry being made from a potential client or actions being taken towards a potential client to convert them to a paying client.
Client Status
A client, prospective client, and lead can be in one of the following three stages:
- Active Client or Visible Client
- This is a client, prospective client or lead that is visible in the client tables.
- Hidden Client
- This is a client, prospective client, or lead that is hidden. Typically a hidden client was created from a relationship and is a spouse or child that will not be a paying customer.
- Archived Client
- This is a client, prospective client, or lead that is no longer being worked with but should not be deleted. Examples of an archived client could be a client that moved, passed away, or is no longer interested but is associated with a session/event/appointment or invoice and to maintain data integrity should not be deleted.
- Please note that StudioCloud will automatically archive any clients that are associated with a session or invoice if you try and delete them to maintain data integrity.

- Click on the Clients component
- Click on the Clients tab
- Click on the All Clients menu bar
- Select the arrow beside the New Client button to access the following options:

How to Convert to a Lead to a Client From the Calendar
- Go to the Calendar component
- Click the Settings tab
- Click the Manage Calendar Types button

- Either create a new sub calendar type by clicking the New Calendar Sub-Type button or edit an existing calendar sub-type by double-clicking or clicking the edit icon
- Click on the Settings tab

How to Convert From a Lead or Prospective Client to A Client When an Invoice Is Created
- When a lead or prospective client is added to an invoice they will automatically be converted to a client when the invoice is saved.
How to Convert Multiple Clients to a Lead
To convert multiple clients to a lead or prospective clients do the following steps:
- Go to the Clients component
- Select the Clients tab
- Select the desired clients
- Under All Clients click on the Group Operations menu
- Click the Convert Client Options sub-menu
- Select either the menu option Convert Selected Clients to Leads or Convert Selected Clients to Prospective Clients menu item

How to Archive and Unarchive Clients
What is an Archived Client?
An archived client is a client that has either been manually archived or automatically archived because the client was selected to be deleted but it was associated with sessions on the calendar or invoices and, as such, StudioCloud automatically archived the client instead of deleting them.
What is a Hidden Client?
A hidden client is a client that you don't want to see in your client list. For example, clients such as children or non-paying spouses or relatives might fit in this category. When creating a relationship, by default, all new relationship clients are automatically hidden.
How to View Archived/Hidden Clients in the Client Table
- Click on the Clients component
- Click on the Clients tab
- Click on the Filter Options menu
- Click on the Show Archived Clients option or the Show Hidden Clients option

How to Add a Tag to Multiple Clients Using Group Operations

- Click the checkbox in the first column for all of the clients that you want to tag
- ProTip: You can select all of the visible clients by going to group operations

How to Add a Thumbnail When Creating a New Client
- Create a new Client
- Click on the Thumbnail menu bar

- Find the image you'd like to upload
- Click Open
- The image will be saved to your Cloud Storage and will automatically appear on the client view

How to Add Important Dates for Clients
How to Add A Birthday or Anniversary to A Client
- Click on the Clients component
- Click on the Clients tab
- Click the New Client button or edit an existing client
- In the client window enter the birthday date or anniversary date in the birthday or anniversary fields
How to Add Custom Dates to a Client
- Click on the Clients component
- Click on the Clients tab
- Click the New Client button or edit an existing client
- Click on the Dates tab in the client window
- Note: the dates tab only appears if you have a custom date type
- Double click on the desired date type in the Available Dates list and enter the date
- Click the Save button
How to Add Relationships to Clients
The following steps assume you have already set up your relationship types.
How to Add a Relationship From an Existing Client to a New Client
Please note that by default, the new client you create will not have any additional client information such as address, email, phone number, etc. If you would like to add that information, simply click on the Edit button next to the client that you have just created on the Relationships tab and enter their information.
It is also important to note that clients that are created from the relationship view are hidden clients by default and will not show in the main client list unless you change the filtering option. If you would like to see the client in the main client list you will need to change the List Options for the newly created client to have a check next to Include Client In Client List.
- Click on the Clients component
- Find and edit the client, prospective client, or lead
- In the Edit Client window click on the Rel tab
- The right hand side of this tab shows any relationships that already exist for this client
- The left hand side of this tab is to add new relationships
- Fill out the form on the left hand side including the First Name, Last Name, etc...
- Click on the Add New Relationship button
- If you do not click the Add New Relationship button it will not be added

- The new client will appear on the right side of the screen as a new relationship
- Click the Save button
- If you do not click the Save button then the relationship will not be added
How to Add a Relationship From an Existing Client to a Existing Client
To add a relationship to an existing client you must enable the Advanced Relationship Tracker from the Customize Client Fields window. Click here for How to Customize the Client Fields
- Click on the Clients component
- Find and edit the client, prospective client, or lead
- In the Edit Client window click on the Rel tab
- The right hand side of this tab shows any relationships that already exist for this client
- The left hand side of this tab is to add new relationships
- Select the relation this client has to other client

- Click the Add Existing Client option

- Enter the desired client's name in the search bar, then select the Search button

- Once you have found the client, double click to select them
- Click the Save button
- The client will appear on the right side of the screen as a new relationship
- Click the Save button
- If you do not click the Save button then the relationship will not be added
How to Mark a Client as "Do Not Market to Client"
If the "Do Not Market To Client" option is set for a client the following will happen:
- CloudAlert Email and Text Messages will not be sent to the client
- Scheduled messages, both email and text messages, will not be scheduled or sent to the client
- Any newly created marketing campaigns will automatically exclude the client from the marketing campaign.
- Note: If a client is already added to a marketing campaign they will continue to be a part of that marketing campaign.
How to Mark a Client as "Do Not Market to Client"
Please note that this option is only visible when the client is being edited
- Create a new client or edit an existing client
- Click the List menu option
- Click the Do Not Market to Client Menu Item

How to Check if a Client is Marked as "Do not Market to Client"
Please note that this option is only visible when the client is being edited

- If the Do Not Market To Client menu item contains a checkmark, that client is is marked as Do Not Market To Client

How to Open the Desired Tabs Window

How to Use the Tabs Window
- To open a tabs window, follow the directions under How to Open the Desired Tabs Window
- Select the desired tags to analyze under the Select Tags to Analyze panel

- This option displays the total invoice amount based on the clients that are tagged
- Display Total Income Per Tag menu item
- This option displays the total payments on an invoice based on the clients that are tagged

- This option displays the total balance due on the invoices based on the clients that are tagged

- Click the Analysis Options menu option
- Deselect the Exclude Tags That Do Not Have Data menu item if you want to see all of the tags, as apposed to just the tags that have data associated with them

How to Export to CSV
- Click the Export Options menu option

- This option will export the details under the Table View tab to csv

How to Track Client Referrals
How to Track New Client Referrals
- Create or edit a client
- Click the Select button below the Referral header
- Select one of the following:
- Client Referred By Marketing Campaign
- This option is used if the client came from a marketing campaign
- Client Referred By Another Client
- This option is used to track if the client came based on a recommendation from another client
- Client Referred By Another Source
- This option is used if the client came from a different source then a client or a marketing campaign
- Client Referred By Marketing Campaign
How to View the Detailed Referral List
- Click on the Clients component
- Click on the Reports tab
- Click on the View Referral List button

The detailed referral list provides a breakdown of all of the referrals combined together in the specified time frame. Specifically it provides the following information:
- Tracking the various types of referrals and the total number of clients referred by each referral
- Tracking the total sales, total income, and outstanding balance for all referrals
- Tracking the total booked sessions/events/appointments for all referrals
- Tracking the total invoices and payments for all the referrals
- A list of all of the clients and their referral source
- A list of all of the sessions/events/appointments and their referral source
- A list of all of the Invoices and their referral source
How to View the Referral Summary Report
- Click on the Clients component
- Click on the Reports tab
- Click on the View Referral Summary button

- The referral summary report provides a summary of each referral type. If you click the View Details button it will give you the following information for just that referral.
How to Enter a Custom Client Referral
- Create or edit a Client
- In the Referral box, enter the desired custom referral
- Click Save

How to Hide the Client Referral Field
By default the client referral field is always shown. If you would like to hide the field do the following steps:
- Click on the Clients component
- Click on the Settings tab
- Click on the Customize Clients Fields button
- Uncheck the Enable Referral Field checkbox

- Note: If the client has a referral entered into the referral field the field will automatically be shown even if you have hidden the referral field
How to Select a Marketing Campaign as a Referral
- Create or edit a Client
- Click the Select button below the Referral header
- Select the Marketing Campaigns tab
- Select the desired marketing campaign

How to View a Client's History
- Go to the Clients Component
- Click on the Clients tab
- Find and edit the client you want to find the history for
- In the Edit Client window click on the History tab
- On the Client History tab, there is a button to view Events, Invoices, Workflow, Payments, Payments Due, and Contracts

If you do not find the item you are looking for you may need to adjust the date filter
How to Print Customer Invoice History
- Go to the Clients component
- Find and edit the client
- In the Edit Client window select the History tab
- Select the Invoices button
- Click the Export menu
- Click either the All Invoices or Outstanding Invoices menu item

How to Customize the Client ID
How StudioCloud Calculates the Client ID
When a new client is created StudioCloud automatically looks at all of the client id's for archived, hidden, and active clients, prospective clients, and leads and gets the next highest unique client ID. For example, if the highest client ID is 100 then the next highest client ID will be 101.
How to Change a Specific Client's Client ID
- Go to the Clients component
- Click on the Clients tab
- Click the All Clients menu bar
- Edit an existing client
- Note: You can not edit the client id when creating a new client
- Change the Client ID to the desired number

- Click the Save button
What is the Maximum Client Number
The maximum client number is 2147483647. We recommend using custom fields if you need a client number larger than that. Click here to see how to set up custom fields.
How to Change the Client ID's That Are Generated For New Clients
To adjust the how StudioCloud calculates the Client ID's you must do the following:
- Edit a client and change their client ID to be where you want StudioCloud to start generating Client ID's.
- For example, If you want StudioCloud to generate Client ID's starting at 1000 then you would edit a client and change his or her ID to be 1000. The next Client ID that would be generated would be 1001.
Resolving Client ID issues
If you have clients that have a higher client ID than the client ID that you want to start using then you will either need to delete those clients or manually edit all of the client ID's to be lower then the desired client ID.
For example, if you want client IDs to start at 1000 but you have a client that has a client ID of 2000 then you will need to edit that client's ID to be 1000 or below otherwise StudioCloud will generate the Client ID of 2001 for the next client.

If you need more than the six custom fields, StudioCloud recommends that you re-purpose the social media fields that you aren't using to be custom fields
How to Import Clients Into StudioCloud From a CSV File
- Open and login to StudioCloud
- Go to the Clients component
- Go to the Clients tab
- Click on the All Clients menu bar (or Only Prospective Clients bar)
- Click the Import Options menu and select the Import New Clients Window menu item

- In the Import Clients window click the Import Options button and select either Import from CSV (Comma Separated) File or Import from CSV (Tab Separated) File

- Select a CSV file from your computer
- Adjust the column headings as necessary to match the data that is displayed in each column
- Click the Save button
How to Merge Clients
- Click on the Clients component
- Click on the Clients tab
- Click on the All Clients menu bar
- Find and edit the client you want to merge
- Click the More Actions button on the bottom left and select the Merge Client With Another Client

- Select the second client by clicking the Search button
- Select the merge options you would like to use
- (The merge options let you select which client will receive the resources and which client will be archived after their resources are moved)
- Click the Merge button when you are ready to merge the two clients
Disclaimer: This option ONLY mergers the clients events, invoices, and payments. It does not merge any other client information.
How to Remove Duplicate Clients
- Go to the Clients Component
- Click the Clients tab
- Click the All Clients menu bar

- Click on the More Select Options menu option
- Click on the Select Duplicate Clients menu item

How to Delete Clients
How to Delete a Single Client, Prospective Client, or Lead
- Go to the Clients Component
- Click the Clients tab
- Click either the Only Clients, Only Prospective Clients or Only Leads menu bar
- Click the trash icon in the client table
How to Delete Multiple Clients, Prospective Clients, or Leads Using Group Operations
- Go to the Clients Component
- Click the Clients tab
- Click either the All Clients, Only Clients, Only Prospective Clients or Only Leads menu bar
To delete selected clients do the following:

- Click the checkbox in the first column for each client you want to delete
- Click on the Group Operations menu
- Click on Actions sub-menu
- Click the Delete Selected Clients menu item
To delete all of the visible clients do the following:

- Click the Group Operations menu
- Click the Select All menu item
- Click the Group Operations menu
- Click the Actions sub-menu
- Click the Delete Selected Client menu item
- Note: If you change the Client Per Page option from 500 to 5,000 you can delete more clients at once.
- Note: If you change the filter to show hidden and archived clients you can also delete them using this same method.
How to Delete Multiple Clients, Prospective Clients, or Leads Using a CSV File
This option will delete clients in StudioCloud that are in a csv file. This option only uses the columns from the csv file necessary for matching the client and ignores all of the other columns in the csv file.
You can match a client in the csv file with a client in StudioCloud using any of the following methods: Match based upon a client number, Match based upon a clients first and last name, or match based upon a clients first and last name and a clients number.
- Go to the Clients Component
- Click the Clients tab
- Click the All Clients menu bar
- Click the Import Options menu
- Click the Delete Existing Clients Window menu item

- Select the csv file to import using the Import Options menu option
- Select the desired matching method using the Matching menu option
- Select the header for that matching option
- Click the Delete Clients button
How to Delete Multiple Clients, Prospective Clients, or Leads Using Group Operations That Have a Specific Tag
- Click on the Client Component
- Click on the Settings tab
- Click the Manage Tags button
- Click on the View Clients button for the desired tag
- Use the group operations listed above to delete the selected clients
